Who will be responsible for Film Licensing?

The Client is responsible for obtaining film licensing if applicable. Client should contactwww.swank.comwww.criterionpicusa.comwww.mplc.org. The Client must obtain the film license before advertising the name of the film title. If Client intends to charge admission at the Event, certain restrictions may apply, which vary according to choice of film and its distributor. Do all clients opt to provide film licensing? 
For various reasons some Clients decide not to obtain licensing, preferring instead to rent their DVD at a local DVD rental store. This is completely up to the Client, and EPIC Outdoor Cinema accepts no responsibility for any copyright infringement issues that may arise.

What time should the movie begin?
To see a good projected image on screen, it's important to wait for darkness. Any ambient light in the sky etc., even after sunset, will wash out contrast or color. Just as in a theater, all lights need to be off to enjoy the best picture. Usually 30 minutes after sunset is a good time to start.

What is a typical event schedule? (Actual setup can be completed in under an hour if necessary. This Time Line can be adjusted if the space must be used for other purposes prior to the event).

  • 1½ -2½ hrs. before: arrive and setup . VERIFY ARRIVAL AND SET UP SCHEDULE WITH OUR TECHNICAL DIRECTOR PRIOR TO SCHEDULED EVENT.
  • 1 - 2 hrs. before: all systems are checked and screen set up
  • 1.5 hrs. before: music, your sponsors ads, games, etc.
  • 10 min. before: announcements & host greeting
  • Movie or 3 hour Showtime begins
  • Showtime ends & Equipment is removed within 1 hour.

Scheduled Showtime is for 3 hours from time movie or event begins (usually 30 minutes after sunset), unless delayed due to weather concerns. You must make previous arrangements if you wish to be quoted for longer Showtime or for overnight events. If your Showtime lasts substantially longer than 3 hours you may be billed at $100 per hour (after the 3 hours allotted).

What is the policy for cancellation due to bad weather?
Our crew chief will consult with you if weather appears to be an issue. Although we can proceed with your event through a light drizzle if you and your audience may wish, the show cannot go on if there is any possibility of lightning or heavy rain. Because every evening is scheduled in advance, we cannot refund deposits for events. If your event is postponed prior to our crew departing from our offices, we will reschedule at the earliest time practical for both parties, and your final payment will be due upon arrival of the crew.

If your Showtime is cancelled once our crew has arrived and set up the system, we will reschedule, but you will be responsible for out of area round trip travel costs on the return engagement, in addition to the final payment, upon arrival of the crew.

How far from the projector should the screen be placed? 
Projection is front or rear, which means from the viewer's side or from behind the screen. The projector should be whatever distance from the screen that allows the picture to best fill it. This will be about 30 feet for widescreen films, and closer if the film is not widescreen. To provide an unobstructed view we recommend that rear projection be used whenever possible.

Screen placement concerns:
The screen must be placed on a level surface (grass works best). The one inch thick stakes must be 24 inches into the ground. The location must be free of any aerial or ground obstructions 35 feet high and 30 feet behind the screens. If you are concerned about underground power or sprinkler lines in the vicinity of the screen, make sure they are located and marked for the crew before anchors are driven down. If necessary, above ground water anchors can be utilized in instances where spikes would not be appropriate.
